WhatsApp groups, communities and channels for online stores

A WhatsApp group lets up to 1,024 members chat together, a community bundles groups under admin announcements, and a channel sends one-way updates to an unlimited audience. For a store, groups suit small customer circles, channels suit public updates, and order messages belong in private chats. Here is how to choose and share links safely.

WhatsApp groups, communities and channels for online stores: which one to use

What is the difference between a WhatsApp group, a community and a channel?

A group is a conversation among its members. A community brings topic-based groups together, and admins can reach everyone with announcements. A channel is a one-way broadcast: followers read, react and vote in polls, but cannot reply. The table follows WhatsApp's Help Center as of October 2026.

What is a WhatsApp group link, and how do I join a group?

A group invite link is a web link an admin shares so that people can join a group. To join a group you need an admin to add you or to send you an invite link or QR code; then you tap Join group. When you join, your profile name may be visible to other members.

By default anyone can add you to a group. You can limit that to My contacts or My contacts except in the group privacy setting. WhatsApp also lets you exit a group you did not want to be in and report it.

  1. Open the invite link, or scan the QR code, on your phone.
  2. Check the group's name and description.
  3. Tap Join group to enter. If you were added to a group you do not recognise, tap Exit group, and report it if it looks like spam.

How do I create a group for my store and share its link?

WhatsApp advises sharing group links only with people you trust, because anyone with the link can join and forward it. By default, members of groups with fewer than 33 members can also create links, unless an admin changes the permission.

  1. Tap New chat and then New group, and choose contacts or add members later. The group name can be up to 100 characters.
  2. Add a group icon and a description that says what the group is for and the rules.
  3. Open the group, tap the group name and tap Invite via link or QR code to copy the link, share it through WhatsApp, email or SMS, or show the QR code.
  4. Under Group permissions, turn on Approve new members if you want to review every request. It is off by default.
  5. If the link spreads further than you intended, an admin can reset it. The old link cannot be restored.

When is a group, a community or a channel right for a store?

The choices below are our recommendations, based on how WhatsApp describes each feature. Match the tool to who should be able to see and answer whom.

  • Group: a small circle where members talk, such as wholesale buyers or a few loyal customers who want early notice of drops. Members see each other, so ask permission first.
  • Community: a store with several topic groups, for example one per product line or city, plus announcements that reach everyone.
  • Channel: public updates such as new arrivals, restock dates and sale dates. Followers cannot reply or see your number, and people can find the channel in the directory.
  • Private chat: anything about one order, such as a confirmation, an address or a refund. Never put order details in a group.

Which rules apply when a store adds customers to a group?

Be careful with third-party websites that collect group links. Joining an unknown group shows your profile name to strangers, and you can leave and report the group at any time.

  • Get permission before you add contacts to a group. If someone removes themselves, honour their decision.
  • Do not add people from contact lists that are not yours or from data obtained from illicit sources.
  • Use the admin-only message setting to cut down unwanted messages in the group.
  • For a community, share the invite link only with people you know, and do not post it on a public forum or website. WhatsApp gives admins this advice.
  • Members can report a group, a member or a message to WhatsApp. WhatsApp can warn or suspend accounts and can block invite links when its rules are broken.

Why are automated order messages better than groups for order updates?

An order confirmation, shipping notice or cancellation concerns one customer. A group puts that customer's details in front of other members, and a channel is one-way, so neither fits. WhatsApp Pilot, a Shopify app by E-SAFQA, sends these private messages from your own WhatsApp number as a linked device, with no WhatsApp Business API and no Meta per-message fee.

On Pro (USD 15 every 30 days) it sends an Order Confirmation with an order status link, an Order Fulfillment notice with the carrier, tracking number and link when Shopify has them, and an Order Cancellation. It does not run groups or channels and does not send broadcasts. The free plan adds a floating WhatsApp button to your homepage so visitors can message you privately.

Frequently asked questions

What is a WhatsApp group link?

It is a link an admin shares so that people can join a WhatsApp group. Opening it shows the group, and the person taps Join group to enter.

How many people can join a WhatsApp group?

A WhatsApp group can have up to 1,024 members. An admin can also turn on Approve new members to review every request.

What is the difference between a WhatsApp community and a group?

A community brings several topic-based groups together and lets admins send announcements to everyone. A group is a single conversation among its members.

Can customers reply in a WhatsApp channel?

No. Channel updates are one-way. Followers can add emoji reactions or vote in polls, and they do not see the admin's phone number.

Is it safe to join groups from public link lists?

WhatsApp advises admins to share group and community links only with people they know, not on public websites. If you join a group you do not want, you can exit it and report it.

Should my store use a group to send order updates?

No. A group shows one customer's details to other members. Order updates belong in private chats, for example automated messages from your own WhatsApp number.
